Booking Terms and Conditions
Nepal Glacier Treks (NGT) is one of the reliable travel company registered under the rules of Nepal Government and accepts your booking under the terms and conditions mentioned below:
1. Down Payment
As per company policy, 25% payment is required in advance to book your trip and confirm your place with the NGTE team. You are required to pay 25% if you book the trip before eight weeks prior to the arrival date and 100% amount needs to be paid if you book the trip less than eight weeks prior to the arrival date (if it causes problem to you, please let us know. We will try to be as flexible as possible.)
2. How to Make Your Deposit

3. Payment of the Balance
If the payment of the outstanding balance of your holiday is due, make payment 8 weeks prior to your departure date. If you choose to settle your holiday balance by credit card, a handling charge of 4% on the outstanding balance is made. Please note that there is no handling charge for payment cheque or bank transfer.
4. Last Minute Booking
Nepal Glacier Treks and Expedition (NGT) can also accept your last minute booking with 100% payment (7 days prior to the tour starting date) but only in case of Nepal trips. There will be no last minute booking for Bhutan, Tibet and India Trips.
5. Refund
If in case of the trip cancellation by Nepal Glacier Treks and Expedition (NGT), we will notify you at earliest and we will refund you the 100% trip deposit you have made, but there is no compensation policy,
In case of trip cancellation, there will be no refund for 25% deposit amount no matter what the reason of cancellation is. Having paid the full amount of any trip, you will be entitled to incur refund in case you want to cancel your trip. But please note that written notification of your cancellation should be made in order to cancel any trip. Nevertheless, you will be imposed cancellation charge as follows:
25%-- 56 days or more before departure
50% -- 42-55 days before departure
75% -- 29-41 days before departure
100%-- 1-28 days before departure
6. Supplement Charge
Nepal Glacier Treks normally offers accommodation on twin-sharing basis in all of its holiday packages. So, for the clients who wish to take single room/tent, supplement charge will be imposed.
7. Incomplete Tour
There will be no refund to the clients who leave the journey no matter whatever part of their journey is unused in the itinerary.
8. Amendment in Tour Cost
Nepal Glacier Treks reserves the right to amend the price rates posted on our website, under any circumstances, or under the pressure of various external factors that are beyond our control such as changes in the exchange rate, government action, etc. However, we put the best effort from our side to keep on the present rate.
9. Emergency Rescue Evacuation
The helicopter cost is the USD 1825.00 to $2500.00 per hour. It all depends on the rescue location & flying hours. Normally it takes 3 to 4 hours of flying hours but, again, it entirely depends on the location and the weather at the time of rescue. So, all the clients need to have their medical & rescue insurance before arriving here. We can arrange the rescue operation and expect all the cost to be settled after the rescue here in Kathmandu. We can arrange all the necessary documents as a support for submitting to the client’s Insurance Company.
10. Unforeseen Circumstances
In case Nepal Glacier Treks cancels your trip due to unforeseen circumstances such as war, political unrest, natural disasters, adverse climatic conditions, and so on, we would be happy to refer you an alternative trip of a similar standard. If this doesn't fit your personal interest, the full amount paid by you to our company will be refunded. However, any other expenses incurred by you as a result of this booking are entirely your own responsibility. (If the tour is cut short or breaks in between due to natural disaster then the cost is not refundable once paid.)
11. Client's Responsibility
During your trips, a tour/trek guide who represents Nepal Glacier Treks deserves all the authority. You will be compelled to leave the tour if you commit any unlawful act. No refund will be made in such cases.
12. Travel Insurance
You must subscribe comprehensive travel insurance package that covers any natural calamity, medical emergencies, helicopter evacuation, accident, trip cancellation etc. we strongly recommend this to all our esteemed clients.
13. Tour Amendment
Please notify us prior to make an alteration to the trek/tour itinerary. However, you may be obliged to do so in the middle of the trip due to certain conditions such as bad weather etc.
14. Safety of Your Personal Belongings
NGT will take no responsibility for any loss or damage to your personal belongings even when shouldered by porters, vehicles or ponies. You have to take your personal possessions at your own risk at times.
15. Papers and Documents
You should present all the necessary documents in a sequence, for example, visa, necessary permits etc. We will take no responsibility if any trip formality is not completed in due time before the trip departure due to the absence of essential documents.
16. Risk and Liability
The client’s safety and satisfaction are our paramount concern. While we give our best service to make your trip become a true and trouble- free, sometimes program doesn’t go well. Otherwise, nevertheless, unless stated, the trip may be changed under inherent circumstances beyond human control. Such as natural disaster, unrest political and adverse weather etc. Keep extra cost without the package, it is your personal responsibility.
17. Flight Delay/Cancellation
There is the virtual possibility of a flight delay or cancellation for bad weather conditions in Himalayan regions of Nepal. Trekking in remote areas like Everest, Jomsom, Simikot, Jumla, Dolpa, especially during the odd seasons, can be uncertain for this reason. So, we recommend you to reserve few extra days to cover some flight delays and avoid frustrating consequences. If the flight gets canceled prior to the trip departure, you need to meet your accommodation and food costs yourself.
